As EDOMEY continues to grow across Canada, we are seeking a highly organized, detail-oriented, and proactive Proposal & Bid Coordinator to support our government, public-sector, institutional, and commercial contracting opportunities.

About the Role

The Proposal & Bid Coordinator will be responsible for identifying relevant contracting opportunities across Canada, reviewing tender and RFP requirements, coordinating information from internal teams, preparing professional proposal submissions, and ensuring that all mandatory requirements are completed accurately and submitted on time.

This position is ideal for an individual who enjoys working with detailed documents, managing multiple deadlines, coordinating with different departments, and ensuring that proposals are fully compliant with tender requirements.

Key Responsibilities

Monitor federal, provincial, municipal, institutional, and other public-sector procurement opportunities across Canada.

Monitor relevant government and procurement portals for new tenders, RFPs, RFQs, and contract opportunities.

Review tender documents, specifications, schedules, evaluation criteria, and submission instructions.

Identify all mandatory requirements, forms, certifications, insurance requirements, references, and deadlines.

Evaluate tender opportunities and determine whether they are suitable for EDOMEY to pursue.

Coordinate bid preparation with management, operations, finance, and other internal teams.

Collect and organize company information, staffing details, pricing, references, qualifications, certifications, and supporting documents.

Prepare professional, accurate, and compliant proposal and bid packages.

Ensure all mandatory requirements are addressed before submission.

Coordinate pricing and supporting documentation with the appropriate internal team members.

Maintain a detailed tender, RFP, and proposal calendar.

Track deadlines and ensure submissions are completed and submitted on time.

Submit bids electronically through government and procurement portals.

Maintain organized records of submitted bids, tender documents, contracts, and supporting materials.

Track bid outcomes and maintain a database of opportunities and submissions.

Assist with contract documentation and post-award requirements.

Research new government and public-sector contracting opportunities that may support EDOMEY’s continued growth across Canada.

Assist management with proposal writing, presentations, business development documents, and related administrative tasks.

Qualifications

1–3 years of experience in proposal coordination, bid administration, contract administration, procurement, or a related administrative role.

Experience with government tenders, RFPs, RFQs, bids, or contracts is an asset.

Experience with Canadian federal, provincial, municipal, or public-sector procurement processes is an asset.

Excellent organizational and time-management skills.

Strong attention to detail and ability to follow complex tender requirements.

Excellent written and verbal English communication skills.

Strong document preparation and formatting skills.

Proficiency with Microsoft Word, Excel, Outlook, and PDF/document management tools.

Ability to manage multiple bids, projects, and deadlines simultaneously.

Ability to work independently and coordinate effectively with multiple departments.

Previous experience in janitorial services, facilities management, construction, building maintenance, or other contract-based industries is an asset.
